There is one extra help, intermittent on-call opening in the Office of Aging and Long Term Care, Yakima Administrative
Office. This position provides clerical support to Senior Information and Assistance, and Case Management offices in an eight county area. This recruitment could be used to fill jobs that occur within 90 days of the closing date of this posting.
Essential Job Functions:
Orders supplies, forms and other equipment for nine ALTC offices, disseminates these materials to offices and troubleshoots
any problems that may occur with the order or its delivery.
Maintains personnel files by copying, filing and completing information. Reviews forms for completeness and accuracy.
Completes some personnel forms and disseminates to Human Resouces, ALTC administrative and satellite offices.
Creates , composes, edits and distributes a variety of routine documents and correspondence for trainings, workshops or meetings. May assist with translating information from English to Spanish on brochures or service plans, etc.
Schedules appointments, meetings, trainings and reservations; tracks training schedules for Senior Information and Assistance and Case Management staff; and arranges for attendance at training for satellite office staff.
Gathers, organizes and copies manual updates and information packets and disseminates them to nine different offices.
Maintain COPES Ancillary, Staff Directory and other lists by updating computerized documents and disseminating to appropriate staff in the nine satellite offices.
Other duties as directed.
Working Conditions/Physical Requirements:
Confidentiality is a requirement. Duties are performed in an office setting. This position requires driving, stooping,
kneeling, crouching, reaching, mobility, fingering, grasping, talking, hearing, seeing and repetitive motions. Rated as
Sedentary work: exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly
to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting, most of the
time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
This position will have to coordinate with nine different offices that are located in eight different counties. They must have
the ability to work well with a variety of personalities and professions.
Computer, email, copy machine, adding machine, facsimile, postage machine, internet, telephone system.
Knowledge: (Upon entry)
Grammar; spelling and punctuation; file maintenance; customer service techniques; phone etiquette, common office practices and procedures, computer operations and applications; effective problem solving and methods of organization and effective communication styles.
Skills (and abilities): (Upon entry)
Working with the internet, intranet and e-mail; organizing; creating and maintaining file systems; solving problems; applying customer service techniques while using the telephone; scheduling meetings and appointments; paying attention to detail and accuracy; performing basic mathematical calculations; using common office equipment including a computer; oral and written communication; and applying customer service techniques to establish and maintain effective interpersonal relationships within the organization and with the public.
Experience & Training: High School Diploma or General Equivalency Diploma (G.E.D.) and one year of specialized or technical training beyond high school related to office support functions; OR an equivalent combination of education and experience which provides knowledge, skills and abilities sufficient to successfully perform the essential duties of the job.
Computer experience with Microsoft applications
